Treasurer leaves: handing over member admin

When the treasurer leaves, the association must be able to continue the member list, open dues and collection without that person. If it cannot, the admin lived in a head and an inbox, not with the association.

What you hand over

The current list: who is a member, which amount, and who is open. The mandates, or at least access to the system that runs them. And where the annual accounts and receipts live. A zip named “members-final-v3” is not a handover.

What you revoke

The login of the person who leaves. You cannot revoke a shared password on a spreadsheet. Everyone who ever had it keeps a copy. In membership management for an association each board member has their own login. You turn that off. The list stays.

Collection continues

The mandate is an agreement with the member and the club’s account, not with the treasurer’s name. The new treasurer does need access to Mollie and the member list. Set that up in the first week, not after the first failed debit.

Whoever takes over next should also read how to collect dues without chasing people. The pattern belongs to the club, not to one person.

Frequently asked questions

What should an outgoing treasurer hand over?

The current member list, open dues, the debit mandates and where the financial records live. Not a zip with three Excel versions.

Do mandates stay valid when the board changes?

The mandate belongs to the member and the organisation’s Mollie account, not to the person of the treasurer. A new treasurer needs a login on the organisation. The Mollie connection stays.

How do you stop the list going missing?

One system with a login per board member. When someone leaves, you revoke that login. The list stays.
