Member admin for a gym

Member admin for a gym is not the till. The till says what was paid. Admin must also say which plan is running, how many visits remain on the class pack, and whether that person may enter now.

A membership and a class pack are not the same

A monthly plan has a term and a debit. A class pack has a balance that drops per class. Putting ten classes on an invoice does not help the desk. The desk wants the balance, not an invoice from three months ago.

The door and the payment belong together

As long as access lives on a list at the counter and payment in another system, someone joins them by hand. Usually that is “I know them”. That works until a busy evening or a stand-in.

For a gym or pilates studio you put sign-up, balance and scan in one place. Members join via a link or QR code. Direct debit runs through Mollie on your account. At the door you scan the pass.

What you do not need to keep in Excel

Not the class pack, not who paused, and not which family member is coming tonight. A parent can add a child and switch in the same app. Modelling that in a spreadsheet becomes a second job.

Frequently asked questions

What belongs in a gym’s member admin?

The member, the plan or class pack, whether they have paid, and whether they may enter today. A till alone cannot answer that last question.

How does a class pack sit next to a membership?

A membership has a term. A class pack has a balance that drops when the desk punches a credit. Those are two things. An invoice cannot track that balance.

Can members sign themselves up?

Yes. Via a link or QR code on the site or at the desk. They then appear straight in the list.
